Terms and Conditions – Charm Balloons Mudgee

1. Bookings

  • Bookings must be made at least 4 weeks in advance to allow time to order custom balloons and colour schemes. All bookings are subject to date and supplier availability.

  • A 50% non-refundable deposit is required to secure your booking. The remaining balance is due 2 weeks prior to the event.

  • No booking is confirmed until the deposit is received. Payment of the deposit indicates your acceptance of these Terms and Conditions.

  • A maximum of four colours is included. Additional colours are $20 per colour.

  • Once an invoice is sent, changes cannot be made unless a specific colour becomes unavailable from the supplier.

2. Payments

  • All prices are subject to change based on supplier costs or inflation.

  • Final payments must be made on time. Failure to pay may result in cancellation of services.

3. Deliveries & Installations

  • Delivery Fee: $20 within Mudgee township. Additional fees apply for out-of-town locations (contact for a quote).

  • Installation Fee: $30 per hour (installation times are estimates and may vary on the day depending on complexity and site conditions).

  • All balloon garlands are installed on-site by Charm Balloons Mudgee. On-site setup, delivery, and installation are included in garland packages unless otherwise stated.

  • Power access is required if inflation occurs on-site.

  • Outdoor installations will not proceed in dangerous weather conditions. We will liaise with you to arrange an indoor alternative if possible.

  • Please confirm set-up access times when booking. We may need access the night before or several hours before the event.

4. Balloon Use & Liability

  • All products (excluding balloons) are hired and remain the property of Charm Balloons Mudgee.

  • We do not inflate customer-supplied balloons.

  • Helium balloons are an additional cost—please contact us for a quote.

  • We take great care during setup, but once we leave the premises, Charm Balloons Mudgee is not responsible for any balloons that pop, deflate, or discolour. This includes helium or air-filled balloons.

  • Weather, temperature, direct sunlight, and rough surfaces can all affect balloon durability. We recommend keeping balloons indoors and away from sharp or heated surfaces.

  • Balloon oxidation (a cloudy or velvet appearance) and popping are natural effects over time and cannot be prevented.

  • If you’d like to prolong colour vibrancy, please ask about our Balloon Shine product. Note: This is not recommended for balloons in direct sunlight, as it may increase the risk of popping.

5. Equipment Hire & Returns

  • Props are hired for a 24-hour period unless otherwise arranged in writing. Extended hire beyond this will incur additional charges at the original hire rate.

  • A pickup date and time will be confirmed at the time of booking.

  • Customers are responsible for removing all balloons from props before pick-up. If balloons are not removed, a fee of $10–$15 (depending on size) will be deducted from your bond to cover removal and disposal.

6. Helium Balloons & Care Instructions

  • Helium balloons are intended for short-term enjoyment and should be used immediately after delivery or pickup.

  • Clear Bubble/Bobo Balloons with custom additions (vinyl, confetti, small balloons inside) can be sensitive to temperature changes and handling. Float times vary and are not guaranteed.

  • Vinyl decals may begin to lift or peel after a few hours, especially in warm or humid conditions.

  • As with all balloons, once they are delivered or picked up, Charm Balloons Mudgee accepts no liability for any damage, popping, or deflation that occurs.

7. Contactless Deliveries

  • All deliveries will be made to the front door for safe, contactless delivery.

  • Please ensure someone is available to bring the balloons inside immediately to avoid damage from heat, weather or sharp objects.

  • If no one is home, we will attempt to contact you. If unsuccessful, your order will be returned to our studio for collection later.

Tips & Things to Know

  • Keep balloons out of direct sunlight and away from heat sources. Excessive heat can cause balloons to expand, pop, or develop a “velvet” matte appearance due to oxidation.

  • High temperatures during transport or display may affect balloon longevity and appearance. Please plan accordingly.

  • When collecting balloons on a hot day, ensure your car air conditioning is on to help preserve balloon quality.

  • On cold days, balloons may appear slightly deflated. This is normal—once in a warmer environment, they will naturally expand again.

Cancellations

All cancellations must be submitted in writing via email or message. Verbal cancellations will not be accepted in order to avoid miscommunication.

Cancellation Fees:

  • Within 1 week of the event: 100% of the booking total is payable.

  • Within 2 weeks of the event: 50% of the booking total is payable.

  • Within 3–6 weeks of the event: 25% of the booking total is payable.

Date Changes:

  • Change-of-date requests must be made at least 4 weeks prior to the event and must be submitted in writing.

  • New dates are subject to availability. While we will do our best to accommodate you, we cannot guarantee availability.

  • If your new date is confirmed but no deposit is paid within 7 days, 25% of the booking total will still be payable to cover potential lost bookings.

Bond Refund

  • A bond is required for the hire of props and equipment. The bond will be refunded within 2 weeks after the event, provided all hired items are returned in original condition.

  • Any damage, loss, theft, or breakage—regardless of who caused it (including guests)—will result in forfeiture of the bond.

  • If the cost of damage or loss exceeds the bond, you will be invoiced for the full replacement cost. Failure to pay promptly will result in further action.

  • A quote for the replacement or repair of damaged/stolen items will be provided. Payment is expected immediately upon receipt of the quote.
